This document specifies the rules for processing of personal data for website users of https://womenhelp.org and https://consult.womenhelp.org. It also explains what data is collected, the legal basis under which it is collected, and who the personal data administrator is. Furthermore, it outlines with whom the data can be shared, how long it is kept, what the users' rights are and the rules of using cookies.

Protection of privacy and confidentiality of personal data by Women Help Women International Foundation - Canada ("Women Help Women", "WHW", "Foundation") is in accordance with the Regulation (EU) 2016/679 (General Data Protection Regulation) which lays down the rules relating to the protection of natural persons with regard to the processing of personal data and the rules relating to the free movement of personal data.

 I. Data administrator

  1. The administrator of all personal data related to the website, the personal data of donors and the personal data users processed in the portal is Women Help Women.
  2. Contact with the administrator can be done via e-mail administrator@womenhelp.org

 II. Personal data

  1. The mere fact of visiting a website does not involve the disclosure of any personal data.
  2. If the user registers, the Foundation receives access to personal data in the form of, for example, name, surname, e-mail address, medical data and other data provided by the user in the E-consultation. Providing personal data is voluntary, with the provision that it is a condition of gaining access to the services of the website.
  3. The Foundation may receive access to bank details or credit card details.
  4. If the user asks the Foundation to provide them with information, the Foundation receives access to the user's e-mail address and can obtain access to their medical data.
  5. In the event that the user makes a donation to the Foundation, they provide the Foundation with the data needed to complete the credit card form, with the exception of the credit card number, or the personal details necessary to make a bank transfer.

III. Legal basis for the processing of personal data

  1. The EU regulation accompanied by the corresponding law of an EU member state is the basis for the protection of personal data and the way it is processed.
  2. The legal basis for the processing of personal and medical data is:
    a) user consent,
    b) implementation of the statutory objectives of the Foundation,
    c) financial law provisions,
    d) maintaining good relations with donors,
    e) conducting scientific research,
    f) improvement of global public health by implementing recommendations of the World Health Organization to improve access to information and safe abortion.

IV. The purposes of personal data processing

  1. If the user accesses the services of the website, they also consent to the collection of personal and medical data to which doctors and advisers have access and to make them available to third parties such as pharmacists and consultants related to Women Help Women in order to provide the services. This consent is also expressed by the user when completing the E-consultation.
  2. The personal data of the user registering for an E-consultation is necessary for the best estimation of the possibilities related to the provision of the service and to adapt them to the needs, questions and state of health of the user and the implementation of services.
  3. The personal data of a user who has asked the Foundation questions is processed to provide reliable and tailored information.
  4. The personal data of the donor is processed for the purpose of providing the service, financial reporting and accounting, sending gratitude for supporting the Foundation and to regularly inform users about the current activities of the Foundation.
  5. The Foundation may use anonymized data for research purposes.

V. User rights and data storage

  1. Personal data is treated as confidential and all persons who have access to personal data are obliged to respect this confidentiality. This data will not be disclosed to a third party unless this results from a legal obligation.
  2. Any person transferring their personal data to the Foundation has the right to: 

 a) access the content of their data,

 b) withdraw consent to the processing of their data, which has no impact on the lawfulness of the processing carried out prior to its withdrawal,

 c) rectification, deletion or limitation of processing, or request the transfer of their data to another administrator in accordance with applicable law

 d) legally acceptable objections to their processing,

 e) the right to lodge a complaint with the competent supervisory authority.

 f) For website users, personal and medical data is kept for the period to which physicians are held by separate legal provisions.

     3. In the case of users contacting the Foundation for information, their personal data will be stored 

     4. In the case of donors to the Foundation or users of the site that make a donation, personal data is stored until after the payment or service is provided.

 

VI. Cookies and Google Analytics

1. Women Help Women uses cookies, provided that this is required for use of the website from a technical standpoint, or if users have given their consent for this purpose.

a) functional cookies (such as language settings and device type), which are required for the operation of the website,

b) analysis cookies, which assist in collecting general data regarding website use and interaction in order to analyze the use of the website.

Cookies are small text files that a server sends to a browser during a visit to a website and are stored on every device (i.e. computer, laptop, smartfone). Cookies are used to design the use of the website more comfortably. In addition, optionally selected settings of a previous visit to the website (for example language) are stored with the use of cookies. 2. If users have agreed to the use of cookies, Women Help Women websites also uses Google Analytics, the web analysis service of Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA (“Google”), with the Google Universal Analytics enhancement.

Google Analytics uses cookies to record standard logging information and user behaviour on the websites in aggregate form. The following information is collected by Google Analytics: browser, device type, device model, country, service provider, screen resolution (on mobile devices), length of visit to the website, language, operating system, pages visited on the website. Google uses this information specifically to analyse and evaluate the use of the website by users and to put together reports on website activities. Google might also pass on this information to third parties, provided that this is prescribed by law or third parties are processing this data by order of Google.

In the event that IP anonymization is activated on this website, IP address will be shortened in advance by Google within member states of the European Union or in other states party to the Agreement on the European Economic Area. Only in exceptional cases will the entire IP address be passed on to a Google server in the USA and shortened there. IP anonymization is active on the Women Help Women websites. By order of the operator, Google will use this information to analyse and evaluate use of the website, to put together reports on website activities and to provide services through us related to website and Internet use.

VII. Data security

The websites womenhelp.org and consult.womenhelp.org are provided in the protected https-format. Additionally, the Foundation takes appropriate technical and organisational security measures to protect all personal data from unintentional or unauthorised deletion or modification, and from loss, theft and unauthorised viewing, forwarding, reproduction, use, alteration or access. The disks on which the data are stored are encrypted and regular security updates are taking place to ensure the data is protected appropriately.

VII. Final Provisions

1. Users accessing Women Help Women websites can use plug-ins and other elements placed by third parties (eg Facebook, Google, Twitter). The decision of the user to disclose his personal data to third parties is subject to the data protection rules of these entities.

2. The Administrator has the right to make changes to the current Privacy Policy available at https://womenhelp.org and https://consult.womenhelp.org, which may be affected by the development of Internet technology, potential changes in the law on the protection of personal data and the development of the Women Help Women website.
